About the job

To deliver strong results orientated project management skills, serve in the enterprise wide, working with the C-suite executives and Value Chain Leaders to provide project management services for the firm's assigned internal projects. To manage assigned projects, typically requiring three or more months duration and the efforts of a multi-skilled/multi-functional team.

Mandatory Qualifications:

  • Bachelor's Degree

Certifications:

  • Project Management Professional (PMP) Certification (or willingness to achieve PMP within first 24 months of employment) or at least five years of experience

Desirable:

  • Other qualifications relevant to Project Management

Minimum Experience:

  • 1 to 3 years of experience delivering strong results orientated project management skills, project performance metrics, change management, and requirements gathering

Desired Experience:

  • Experience working with C-suite stakeholders

Technical Skills:

  • Proficient in Microsoft Office
  • Project Management Skills

Behavioural/Non-Technical Skills:

  • Demonstrate customer focus
  • Detail orientated with a focus on planning and organization
  • Highly effective communication skills (written and verbal)
  • Must have knowledge of process improvement techniques and the ability to develop improvement action plans with groups

Key Performance Areas:

Strategic Management

  • Aligning projects with the organization's strategic plan
  • Provide strategic business partnering fully vested in organizational success, and be able to roll with inevitable setbacks
  • Provide a strong foundation that will enable you to adapt to the constantly changing dynamics of a project while putting stakeholders needs first above all else

Project Management

  • Work closely with the Global Chief of Staff and applicable Value Chain Leaders to transition a project from the Initiate to the Planning phase, continuing to manage the project through Execution, Control, Implementation, and ongoing process improvement. This includes, but is not limited to, the following activities:

Initiation and Planning

  • Establish project collaboration tools (i.e., Office 365 Teams site, Team SharePoint site, and/or project site)
  • Work with project sponsor(s) and other Executive stakeholders to finalize project objectives, update business case and prepare project charter
  • Obtain sign-off from sponsor on the project charter from the C-suite (CEO, Global Chief of Staff)
  • Develop project approach, plans to meet stated project objectives and functional as well as non-functional requirements (such as product backlog, budget, schedule, procurements, third-party contractors, etc.)
  • Develop project budget and resource plan (to include SAPRO resources as well as any expected external resources) to include forecast of capital hours and depreciation
  • Develop risk mitigation, change control, communication, and quality plans
  • Determine any project procurement needs, if applicable
  • Provide support for the contracting process, as needed
  • Obtain necessary approvals to move the project into Execution
  • Under the direction of senior leadership coordinate a Project Kick-off Meeting to transition the project into the Execution Phase and Control.

Execution and Control

  • Implement and monitor project execution, including project plan and schedule, sprint cadence and ceremonies, product delivery and acceptance, project planning and scheduling
  • Under the direction of senior leadership manage project issues and risk mitigation, change, communication, and quality plans
  • Manage and release project resources throughout the project, with consideration of resource availability, allocation, and other obligations and constraints
  • Monitor and manage issue tracking and resolution within and around the project
  • Manage project budget to include any necessary change orders, deviations, and/or changes in capitalization/depreciation forecasts, including facilitation of proper approvals as required
  • Prepare any project status reports as required and other project update communications requested
  • In consultation manage project scope, schedule and budget and, as necessary, any required project change requests
  • Foster and promote team collaboration, teamwork and individual and team growth opportunities
  • Coordinate and facilitate project team meetings including, for example, daily standups, sprint retrospectives, routine Core Team meetings, and Executive updates
  • Obtain written approval before moving the project deliverable.

Implementation and ongoing Process Improvement

  • Ensure the transition of a project’s outputs/product delivery into ongoing Product Management, ensuring a Product Management process is established, with ownership and governance designed and assigned as required
  • Obtain formal project acceptance from the sponsor
  • Prepare necessary documentation and facilitate project closure (including lessons learned, archiving, project sponsor sign-off, etc.)
  • Participate in project prioritization and portfolio management as necessary
  • Promote project management best practices
  • Solicit and provide feedback as needed to develop skills and identify areas of opportunity
  • Maintain activities and learning necessary to maintain the Project Management Professional (PMP) certification
  • Participate in or manage special projects/assignments as requested, e.g. special committees or temporary work teams, events, etc.

Operational Effectiveness

  • Lead the initiation and planning of a project and ensure technical feasibility
  • Ensure all projects are delivered on time within the stipulated scope and budget
  • Ensure resource availability and allocation
  • Develop a detailed plan to monitor and track the progress of the project
  • Coordinate with internal and external parties for the flawless execution of projects
  • Manage relationships between clients and stakeholders
  • Measure project performance using appropriate project management tools
  • Perform risk management analysis to reduce project risks
  • Report and escalate to upper management as and when needed
  • Create and maintain a comprehensive project documentation

Budget/Financial Management

  • Own and monitor the functional operating and project budget, and perform accurate budgeting and forecasting across operations and projects
  • Manage projects budget and funding channels for maximum productivity

Team Effectiveness

  • Meet team expectations regarding goals, objectives, deliverables, and services
  • Collaborate with the team for better results
  • Be a team leader and be accessible to provide advice and guidance on project management related aspects
  • Utilise all the project management skills you have learned for every single project
