About the job

To provide effective resource analysis, project schedule advice, oversight, and support in order to ensure delivery of services to the firm and clients in the most cost efficient and effective manner. To determine resource and space requirements for all teams, ensuring that projects are aligned to client demand and commercially viable, meeting service standards and provide excellent service.

 

Mandatory Qualifications:

  • Relevant tertiary qualification or certification or equivalent experience in resource planning/scheduling management


Desirable Qualifications:

  • Bachelor's Degree in a business administration, or equivalent experience


Minimum Experience:

  • 5 – 8 years resource planning/scheduling experience in a professional services firm

 

Desired Experience:

  • 5+ years of experience in a demand driven environment
  • 5+ years of experience in a Workforce Management related field such as scheduling, capacity planning, real-time analytics, workforce planning required
  • Strong experience in team management

  • Take ownership of the strategy, development, and long-term success of the Resource Planning/Scheduling team
  • Provide resource demand management and advice for all resourcing needs, based on scheduled projects and operational activities

Resource Planning/Scheduling

 

  • Liaise with all stakeholders regarding the current and future business pipeline to ascertain resource requirements, (Skills , proficiency levels and experiences )
  • Provide suitable technical competent professionals to clients based on their requirements
  • Attend sales requirement meetings and give resourcing/scheduling updates to all attendees
  • Provide availability, forecasting and utilization reports
  • Maintain resourcing/scheduling database
  • Provide updated information on new skills obtained with each project completed – ensure that professionals CV’s are up to date
  • Adhere to all quality, risk and legal requirements on all client engagements and report nuisances to the legal team

 

Project Management

 

  • Responsible for overall project management activities in the resource planning/scheduling team
  • Track project against original start and end date given to aid the correct revenue calculation and correct allocation

 

Data Management & Reporting

 

  • Accurately capture and maintain data on the Resource Planning/Scheduling system
  • Prepare, review, and update data, information, and business reports, relating to resources for data analysis required
  • Update internal resources/scheduling databases
  • Respond to queries related to resource planning/scheduling
  • Ensure data integrity

 

Operational Effectiveness

  • Manage and accurately prepare forecasts and budgets for workloads and resource, monitoring drivers against business change and developing models to improve accuracy
  • Constantly monitor and propose effective work patterns to match business requirements, optimising performance of all client teams and maximising satisfaction by providing flexible options
  • Make recruitment recommendations and identify opportunities and benefits offered through skills based routing, demonstrating the benefit of proposed changes through testing scenarios using relevant tools, capacity and sensitivity analysis
  • To be aware of and record business, resource and seasonal changes, making appropriate resource plans for expected changes in profile and workloads, reporting on expected and experienced results
  • To monitor recruitment and liase with the Talent Team to make advanced plans for required resources to optimize delivery of resource and skills, identifying when new groups and resources are required
  • To work closely with the Talent, Success, HR, Operations teams to monitor performance and trends and provide consultative support to the Success team
  • To deliver effective and accurate reports detailing key performance indicators and commentary relating to workforce and project performance, identifying the proposed and actual shift efficiency factors and clearly stating all assumptions applied
  • To actively manage and develop the Workforce Management tool, owning the relationship with the clients and to identify and implement new ideas of best practice

 

Budget Administration

  • Budget/Financial Administration
  • Support the Resource Planning/Scheduling team in ensuring that time and resources are effectively used


Team effectiveness

  • Collaborate with the team for better results
  • Make positive contribution to the resource planning and talent team performance and ensure that Service Line Agreements are achieved
  • To prepare for and attend reviews and appraisals, taking responsibility for self-development and training

 

Technical Skills:

  • Proficient in Microsoft Office
  • Proven experience with any Resource Planning/scheduling software/s
